ROLES AND RESPONSABILIIES

TEAM ADMINS

The Team admin is responsible for communicating with the National Federation about their Master Roster and to the tournaments about their registration, etc.

  • On the 10th of December, Pre-registration for Teams will open up. The Teams have until the 21st of January to register and select their priority list for the different EUF tournaments.

    Registration for a tournament

A team can select up to 3 Tournaments to go to.

    ·       1 Spring Invite

    ·       1 Elite Invite - reserved for top 8

    ·       1 Summer Invite

They are able to choose their priority for these tournaments. EUF will try to create the fairest distribution possible. It is not guaranteed that you get the tournament that you have on priority nr. 1. Please consider your options from the beginning and communicate clearly. The freedom of choice only works if it is possible to find compromises.

  • Team Admins must submit a roster to each tournament they want to include in their Ranking.

See Rostering Deadlines for the timelines for EUF tournaments and EUF-sanctioned Tournaments

  • Team Admins must submit a roster for each Single Game they want to include in their Ranking.

The roster must be submitted the day before the Game takes place.

  • For all changes to the master roster, the Team Admin needs to communicate with the National Federation. This includes:

    • Add-ons

    • Moves

    • Deleting a player (only possible through the EUF Admin)

  • For tournaments which requested to be part of the EUCS, teams admins need to select in the registration for said tournament if it is used as part of the EUCS or not.

The answer is binding and cannot be changed after communicated to the EUF.

NATIONAL FEDERATION Admin

The NF (National Federation) is a member of the EUF. Therefore, the EUF wants to ensure that we interact with our members and honour their role towards their members - the Teams.

EUF requires the NF Roster Admin to perform the following responsibilities to deliver a European Club season.

  • While appointing tournament hosts, we already asked the NF Roster Admin to approve the clubs and Tournament Admins for the EUF tournaments.

We want to ensure that the Clubs are in good standing with the federation and that the federation has no consideration for the tournament to proceed.

  • The NF Admin needs to approve that the teams registered in our system are participating in the national championships

EUF can’t appoint teams to the EUF tournaments they want to attend before the NF Roster Admin needs to approve that the teams registered in our system are participating in the national championships in their country in the calendar year 2024.

  • Once the Teams are approved, they should provide their Master Roster to the NF Roster Admin.

The final deadline for the Master Roster is March 31st. Before that, NF can set their deadlines to establish their workflow.

  • Teams must request to add players (Add-ons) to their Master Roster to the NF Roster Admin any time before July 15th. NFs can set their deadlines before that date to develop their workflow.

  • Teams must submit a request to add a player (Move) to their Master Roster to the NF Roster Admin during the transfer period from May 15th to July 15th. Players already in the system can only transfer to another team within the transfer period.

With the limited period to make the transfer process, the EUF recommends not to shorten this process.

  • If the nation decides to submit the national championships as EUF-Approved event the whole system for the championships (Qualifiers + final tournament) needs to be submitted (as long as the tournament criteria is met)

PLAYERS

A player can submit information in the Rostering Tool to facilitate for live streaming commentators.

  • The participation agreement is the most crucial document for the player. After a player is added to the Master Roster, they will get a notification from the Rostering Tool to insert their player data.

The player must accept the participation agreement within the Rostering Tool every year. If this is not accepted, the player is not selectable for the tournament roster and, therefore, unable to participate.

  • If a move between two teams is requested, the player in question gets a notification to approve or decline that roster move.

  • Each athlete needs to submit their up to date rules certificate by WFDF: https://rules.wfdf.sport/accreditation/

50% of the participating athletes need to have an advanced accreditation

EUF-Approved Tournament Admin

  • The Tournament Admin needs to submit the event before the registration has started.

The application form can be found here: https://forms.gle/VQhAtHXccfJceQD38

The Tournament Admin will be informed once the review has been completed.

  • Once the tournament is approved, the Tournament Admin will get an email notification to inform them about the updated status.

The tournament nees to collect if the teams are using the tournament for the EUCS or not. This is a binding question and cannot be changed after it is communicated to the EUF.

  • Application for approval: Before registration to the tournament has started.

Roster deadline for the teams: 1 Week before the tournament

Submitting tournament results: Ideally the day after the event but max. 1 Week after the tournament.

Deadline to submit result: 18th August 2025

EUF can help with the schedule and tournament tool.

  • Max. 1 week after the tournament takes place, the Tournament Admin needs to send the results of the tournament to the EUF.

There will be a template to unify the format of the results.

The results need to be communicated to: competition@ultimatefederation.eu
